Speaker Logistics Manager
Location: NYC, NY or Remote
Reporting To: VP, Event Productions
We are seeking a highly organized and detail-driven Speaker Logistics Manager to support our portfolio of national cybersecurity events, including Identiverse, InfoSec World, and MSSP Alert Live. This role is responsible for delivering a seamless, high-touch experience for speakers while ensuring flawless logistical execution across all event phases. You’ll work at the center of our event operations - partnering with programming, marketing, and production teams to manage speaker communications, travel, and on-site coordination. The ideal candidate thrives in fast-paced environments, anticipates challenges before they arise, and brings a customer-first mindset to every interaction.
A successful candidate will be proactive, highly organized, and enthusiastic with excellent communication skills. A “can-do” attitude is a must.
Primary Job Responsibilities:
- Own end-to-end speaker logistics for events, including onboarding, communication, travel coordination, and on-site support
- Serve as the primary point of contact for speakers, ensuring a high-quality, professional experience from confirmation through post-event follow-up
- Coordinate travel arrangements (flights, hotels, ground transportation) in alignment with budget and company policies
- Manage speaker schedules, session details, and rehearsal timelines to ensure smooth program execution
- Partner cross-functionally with programming, marketing, production, and operations teams to align on speaker needs and event requirements
- Track and maintain accurate speaker records, contracts, bios, headshots, and presentation materials
- Ensure timely collection and review of speaker deliverables (presentations, AV needs, special requests)
- Anticipate and resolve logistical issues proactively, both pre-event and on-site
- Support on-site execution, including speaker check-in, green room management, and session transitions
- Monitor budgets related to speaker travel and logistics, identifying cost efficiencies where possible
- Continuously improve speaker processes, tools, and communications to enhance efficiency and experience
- Frequency of travel: up to 25% annually
Qualifications:
- 3 years+ of experience in event operations, conference production, speaker management, or a related field
- Proven experience supporting logistics for multi-speaker programs, ideally within B2B or large-scale conferences
- Demonstrated ability to manage multiple projects and deadlines in a fast-paced environment
- Strong organizational skills with high attention to detail and follow-through
- Self-motivated, strategic thinker with a collaborative, solution-oriented approach •
- Experience in Swoogo and Sessionboard is a plus
- Exceptional organizational, project, and time management skills with a strong attention to detail
- Proficiency in the MS Office suite (Word, Excel and Power Point)
- Knowledge of and interest in information security markets desired
- Strong oral and written communication skills, and executive presence
- Able to lift up to 20 lbs
- Ability to travel periodically throughout the year to support onsite events operations

For individuals assigned and/or hired to work in New York City, CRA is required by law to include a reasonable estimate of the compensation range for this role. This compensation range is specific to New York City and takes into account numerous factors that are considered in making compensation decisions including but not limited to a candidates' qualifications, skills, competencies, experience and location. A reasonable estimate of the current range is $65,000 to $70,000, which does not include other compensation benefits package.
